What are the different volunteer check-in or registration statuses?

Registration Statuses (or check-in statues) are used to reflect a volunteer's attendance at a volunteer event. Below are the possible different statuses to show a volunteer's attendance:

Registration Statuses: 

Pending - This volunteer signup is incomplete and is waiting for the organizations admin to confirm their event registration. This is default for events requiring background checks, applications or approval upon registration. Admins should change the volunteer status to "Signed Up" - to approve and confirm the registration. When admins change a volunteer's registration status, the volunteer receives an email confirmation.  

Signed Up – This volunteer has signed up and confirmed they will attend the event. This could be volunteers that signed up on their own, volunteers that have been assigned a spot by an admin and volunteers that have confirmed a spot reservation. (Note: These volunteer have not yet been checked in.)

Reserved – This Volunteer has had a spot reserved for them (either by the volunteer coordinator or a corporate/school partner admin), but they have not yet confirmed they are attending. Once reserved spots are confirmed, the volunteer is marked as "Signed Up". 

Checked In – This volunteer has been checked in. Their attendance has been confirmed by the admin manually or the volunteers has completed self check-in through a Check-In Station. Hours are assigned to the volunteer once the volunteer has been checked in. Hours can be changed by admins. 

No Showed – This volunteer did not show up at the event, their hours will not be counted. Note this will count toward the “No Showed” rating on both your overall event stats and the volunteer’s individual profile.

Canceled – This volunteer canceled their registration for the event on his own or an admin has marked the volunteer as canceled. Learn about the Admin Cancellation Process here. Admins can read whether the volunteer left a reason for their cancellation. By default, when a volunteer cancels participation, a place is opened for another volunteer to register. 

When a volunteer cancels or they are marked as cancelled, the volunteer did not show up at the event and their hours will not be counted. However, cancelation statuses do not count towards a No Show rating. 

*Note: We recommend using “No Showed” if the volunteer did not tell you they couldn’t make it—after several “No Shows” for the same volunteer, POINT suspends their account, treating it like spam. Use “Canceled” if you were aware they couldn’t make it and want to excuse their absence. 

Note: As a volunteer coordinator, you have the ability to reserve spots for specific volunteers through your admin capabilities. It is important to make these reservations before the event starts. Click here to learn more about this feature.
