How to View Volunteer Lists for Canceled Events

How to retrieve volunteer lists for canceled events, accessible via the Volunteer Activity section, showing their Canceled status.

When an organization admin cancels an event, all volunteer sign-ups for that event are also automatically canceled. Consequently, the volunteer list tab on the Event Details page becomes inaccessible. This is by design, to prevent any further actions (like changing volunteer statuses or assigning volunteers) on a canceled event.

A canceled event cannot be restored.


However, if an admin needs to access the list of volunteers who were previously signed up for a canceled event (for example, to reassign them to a new event), this information is still available within the system.

Follow these steps to find the list of volunteers from a canceled event:

  1. Navigate to the Admin Menu: Within the Admin Menu, choose the "Tracking" section.

  2. Select Volunteer Activity: Click on the "Volunteer Activity" option. This page displays a comprehensive log of all volunteer actions.

  3. Search for the Event:

    • Use the search bar on this page to search for the name of the canceled event.

    • Ensure you select the appropriate "Past/Upcoming event" toggle (found near the search filters) to include past or upcoming (but now canceled) events in your search results.

  4. Locate and Expand the Event Record:

    • Once you find the canceled event record in the search results, expand it (e.g., by clicking on it or an arrow icon next to it) to view its details.

  5. View Volunteer List:

    • Within the expanded event record, you will see a list of all volunteers who were previously signed up for this event.

    • Each volunteer will be displayed with a corresponding "Canceled" status, indicating their participation was revoked due to the event cancellation.


This method allows admins to efficiently retrieve necessary volunteer information even after an event has been canceled, supporting tasks like re-engagement or re-assignment.
