How do you Add, Edit, or Delete a Check-in Station with QR Code? (Pro)

Check-in Station with a QR code it easy for volunteers to scan and get their hours for their opportunity! See how you can add, edit, or delete below!

Step 1: Start New Check-in Station Setup

  1. Log in to your POINT Organization Dashboard.

  2. Navigate to the Opportunities tab and select "Check-in Stations."

  3. Click the "Add Station" button.

Adding a new station is divided into two key steps: Display Settings and Check-in Settings.

Step 2: Configure Display Settings (Visual Configuration)

The first step focuses on the station's appearance and how volunteers interact with it.

  1. Station Name: Enter an internal name (e.g., "Main Lobby QR Code").

  2. Title: Enter the title that volunteers will see on the Kiosk screen (e.g., "Welcome! Please Check In").

  3. Station Type (Critical Setting): Choose the correct display option for your needs. This determines how the QR code is presented:

    • Self Check-In Kiosk + QR Code: Displays the full Kiosk interface (for name/email search) along with a visible QR code for quick scanning.

    • Self Check-In QR Code: Displays only the scannable QR code and station title, optimized for mobile check-in.

  4. Background Color: Customize the background color for your station screen.

Step 3: Configure Check-in Settings (Functionality and Logic)

This step defines what the station allows volunteers to do after finding their contact or scanning the QR code.

Select Functionality: Choose which activity types the station will support:
  • Event Checkin: Allow volunteers to check in for events at this station.
  • Non-Event Time Tracking: Allows volunteers to clock in and out for non event hours. (You’ll need to decide if hours should be logged under a specific Program.)
  • Walk-ins / New Volunteer Registration: Recommended for registering new volunteers on the spot, creating a contact record automatically.
  • Allow Same-Day Event Registration: Let volunteers sign up for available shifts directly at the station.

How QR Code Check-in Works for Volunteers

The QR code is designed for volunteer mobile phone use, allowing check-in on their own device. The functionality upon scanning the QR code is directly dependent on the Check-in Settings configured in Step 3.

Core Behavior: Scheduled Event Shifts

If Event Checkin is enabled, a volunteer can check in to a specific shift.

  • Scanning the code automatically redirects the user into the mobile app (if installed) or a web view.

  • Successful Check-in requires:

    1. The user must be logged in to the app using the same account (email) linked to their contact record.

    2. The user must be signed up (registered) for the specific shift/event they are checking into.

    3. If a Waiver is required by the event and not yet accepted, the user must agree to it during the Check-in process.

  • Check-Out Process: When checking in via the mobile app's QR code, the system automatically checks the volunteer in for the entire duration of the scheduled shift, and no manual "check out" is required.

Non-Event Time Tracking

After scanning, the user is redirected to the Add Hours screen in the mobile app, with the organization already selected.

The mobile app currently does not support "Clock In" and "Clock Out" functionality for Non-Event Tracking via the QR code. Hours must be manually entered or clocked in/out via the Kiosk screen. (Future Feature Planned)

Allow Same-Day Event Registration

This setting does not directly impact the QR code's check-in function.

A volunteer cannot use the QR code to sign up for a shift. They must manually open the organization page in the mobile app to sign up for an available event first. The QR code only works for Check-in after they are signed up.

Walk-ins / New Volunteer Registration

The user is redirected to a Sign-Up/Create Account screen after scanning.

The user must complete the account creation process on their mobile device after scanning the QR code, followed by automatically joining the organization.

How to Manage Check-in Stations (Edit, Delete, and Deactivate)

You can modify, permanently remove, or temporarily deactivate any existing Check-in Station at any time.

  1. Navigate back to the Opportunities tab and select "Check-in Stations."

  2. On the list of stations, locate the "Actions" column (represented by a vertical ellipsis, or three dots ...) next to the station you wish to manage.

  3. Click the Actions menu to see available options:

A. Editing a Station

Selecting "Edit" allows you to modify the station's configuration:

  • All original options configured during the creation process (Display Settings and Check-in Settings) will be available for modification.

  • After making changes, click "Save" to update the station.

B. Deleting a Station

Selecting "Delete" permanently removes the station and its associated QR code.

  • Click the Actions menu and select "Delete."

  • Note: This action cannot be undone.

C. Deactivating a Station

If you want to temporarily disable a station without permanently deleting its configuration, you can use the Deactivate option.

  • Click the Actions menu and select "Deactivate."

  • The station will become inactive and will no longer accept check-ins until it is "Activated" again.
