How do you send a waiver to a volunteer?

Need to send a waiver to a volunteer? Currently, waivers in POINT are securely tied to specific volunteer opportunities (events or applications).

🚀 Coming Soon: We well developing a standalone feature that will allow you to send waivers to volunteers directly, without needing to tie them to a specific event or application. We do everything we can to make managing your organization on the POINT platform as convenient as possible!

In the meantime, waivers are designed to work seamlessly with your volunteer opportunities. Below are the three primary ways a waiver can currently be sent or resent to a volunteer through the system.

1. Automatically, when assigning spots

When an admin manually assigns a spot to a volunteer for an event that has a waiver requirement, the system will automatically trigger an email sending the waiver to that volunteer so they can complete it.

2. Resending from the Event Details page (Pending Waiver status)

If a volunteer has signed up for an event but has not yet agreed to the waiver (or if a parent/guardian still needs to sign it for a minor), their status on the roster will show as "Pending waiver".

  • As an admin, you can go to the Event Details page, locate the volunteer with this status, and choose the option to resend the waiver to them directly.

3. When adding a new version of an existing waiver

If you need to update a waiver's terms, you will add a new version to the existing waiver. During this process, you will see an option to "Email Currently Signed Up Volunteers."

  • If checked: The system will immediately email the new version of the waiver to all volunteers who are currently signed up for an upcoming event so they can agree to the updated terms.

  • If unchecked: The system will not send an email right away. Instead, volunteers will be prompted to agree to the new version the next time they try to sign up for an opportunity.
