What can a Program Coordinator do in POINT

Program Coordinator is one of the team roles in POINT. This role is built for program managers: people who run programs end to end, including their events, participants, groups, and volunteer hours, but do not need access to organization settings, messaging, or billing.

What access does a Program Coordinator have?


When someone with this role logs in, their account menu in the top right corner shows the Program Coordinator badge, so it is always clear which access they have.


Which programs a Program Coordinator can access

When the Owner assigns this role, they choose between two options:

  • All programs: access to every program in the organization, including programs created in the future.
  • Specific programs: access only to the selected programs.

Program access also determines event access: a Program Coordinator works with the events that belong to their programs.

Assigning a Program Coordinator to specific programs

When inviting someone as a Program Coordinator, the Owner or Admin chooses their program access as part of the invite flow:

  1. Details — enter the person's name and email
  2. Pick Access — select the Program Coordinator role
  3. Choose Programs — if "Specific programs" was selected, pick which program(s) this person will manage from the list
  4. Confirm and Invite — review and send the invitation

  • Each program in the list shows its name and the number of events under it, making it easier to confirm the right program before sending the invite. Multiple programs can be selected if the coordinator will manage more than one.

  • If "All programs" is selected instead during the Pick Access step, this Choose Programs step is skipped, and the coordinator automatically gets access to every program in the organization, including any created afterward.

Group access works differently from program access: a Program Coordinator can see all groups across the organization, regardless of which programs they're assigned to.

All other menu pages, including Messages, Team, Integrations, Recruitment Tools, Referrals, and Subscription, are not available for this role.

Working with programs

Programs are the core of this role. Depending on how the role was assigned, a Program Coordinator manages either all programs or only the selected ones.

Within their programs, a Program Coordinator can:

  • View and edit program details: name, description, colors, and images
  • View, edit, and manage existing subprograms
  • See all events that belong to the program on the Events tab
  • See all contacts that belong to the program on the Contacts tab
  • Create and manage groups within their program

Only an Owner or Admin can create new programs or subprograms. A Program Coordinator works with the programs already set up for them and cannot create or delete them.

When adding a document to a program, a Program Coordinator selects it from the existing Document Library and cannot upload a new one.

Working with events

A Program Coordinator works with the events that belong to their programs. They can:

  • Create new events and assign them to a program. 
  • Edit and delete events
  • Manage shifts and attendance
  • Track volunteer hours for their events
  • Create and edit check-in stations for their events

When creating or editing an event, a Program Coordinator chooses documents, custom questions, applications, and waivers from what already exists in the organization, and cannot create new ones during event setup. If something is missing, an Owner or Admin needs to create it first.

Frequently asked questions

  1. Can a Program Coordinator create new programs?

    No. Only an Owner or Admin can create new programs. A Program Coordinator can view, edit, and manage existing programs and subprograms, but cannot create or delete them.

  2. Can a Program Coordinator track volunteer hours?

    Yes. The Hours page is fully available: they can view, add, and edit hour records.

  3. Can a Program Coordinator see billing or run reports?

    No. Billing, subscription, and reports are not available for this role.

  4. Can a Program Coordinator delete a program? 

    No. Program deletion is limited to Owners and Admins.

  5. Can a Program Coordinator create groups?

    Yes, within their assigned program(s). They can also view all groups across the organization, though contacts shown inside a group are still limited to their program.

  6. Can a Program Coordinator manage check-in stations?

    Yes. They can create and edit check-in stations for their events.
