This role is built for group leaders and team leads: people who manage volunteer groups, their members, and group events, but do not need access to organization settings, programs, hours, or billing. Keep in mind how this works with subgroups: access to a main group also includes all of its subgroups. Access to only a subgroup does not include the parent group. A Group Coordinator sees only the groups they have access to β€” other groups in the organization are not visible in the group list. ### Which contacts can a Group Coordinator see? A Group Coordinator sees only the contacts who belong to their assigned groups. This applies everywhere in the dashboard: - **Contacts** shows only members of their assigned groups. - **Groups** show only their assigned groups, and only the members they have access to. - **Messages** can be sent only to contacts from their assigned groups β€” selecting "All contacts" includes only the contacts available to this role. - The same rule applies to every page that displays contact data: Form Fields responses, Waivers, Background Checks, and Activity. ### **What a Group Coordinator can see and do** Here is the full breakdown by menu item: | Menu item | Access | | --- | --- | | Home | βœ… Full access to the dashboard with general organization information | | Notifications | βœ… Personal notification list with updates related to their groups | | Organization: Profile | βœ… View organization details ❌ Cannot edit organization details | | Organization: Documents | βœ… View the document library and document details, download documents, and mark them as active or inactive ❌ Cannot upload new documents | | Organization: Form Fields | βœ… View the list of questions and question details -Β Β responses are limited to contacts from their assigned groups ❌ Cannot create new questions | | Organization: Waivers | βœ… View the waiver list and waiver details. Volunteer agreements are limited to contacts from their assigned groups ❌ Cannot add new waivers | | Messages | βœ… Send emails and texts to contacts from their assigned groups. The "All contacts" option includes only the contacts available to this role | | People: Contacts | βœ… View and manage contacts from their assigned groups, including adding contacts to their groups ❌ Cannot see contacts outside their assigned groups ❌ Cannot add contacts to programs | | People: Groups | βœ… Full group management within their assigned groups βœ… Create subgroups within their assigned groups -Β selecting a parent group is required ❌ Cannot create a new standalone group | | People: Background Checks | βœ… View the list of check results ❌ Cannot send new check requests | | Opportunities: Manage Events | βœ… Sees and manages events that are private to their groups, and can create new events for them. See the section below for details | | Opportunities: Events Templates | βœ… Full access | | Tracking: Activity | βœ… View volunteer activity | | Settings: Email Notifications | βœ… Manage their own email notification preferences | The Programs page and the Hours page are not available for this role: a Group Coordinator cannot view or add volunteer hours. All other menu pages, including Messages, Team, Integrations, Recruitment Tools, Referrals, and Subscription, are also not available. ### **Working with groups** Groups are the core of this role. Depending on how the role was assigned, a Group Coordinator manages either all groups or only the selected ones. Within their groups, a Group Coordinator can: - Manage existing groups - Edit group details - Add contacts to the group and remove them - Export the group's contact list to CSV - View each member's hours within the group - Create, edit, and delete notes on the group - See who manages the group on the Admins tab On the group page, the tabs Contacts, Details, Subgroups, Events, Notes, and Admins are available. ![](https://support.pointapp.org/hs-fs/hubfs/image-png-Jul-07-2026-09-18-45-5506-AM.png?width=670&height=466&name=image-png-Jul-07-2026-09-18-45-5506-AM.png) #### Adding contacts to a group When adding contacts to a group, the coordinator searches by name or email: - **If the contact already exists in the organization** β€” even one the coordinator can't normally see β€” the system finds the match and offers to select it, showing the contact's name and email. Once added to the group, the contact becomes visible to the coordinator. - **If no match is found**, the coordinator can create a new contact. The new contact is added to the group. A Group Coordinator cannot request new background checks. They can view the statuses of existing background checks for their group members. ### **Working with events** A Group Coordinator works with events that are private to their groups. On the group's Events tab, they can: - See the events that are private to the group - Create new private events for the group - Edit and delete these events - Manage attendance at these events ![](https://support.pointapp.org/hs-fs/hubfs/image-png-Jul-07-2026-09-26-34-0999-AM.png?width=670&height=451&name=image-png-Jul-07-2026-09-26-34-0999-AM.png) #### Event privacy When creating an event, a Group Coordinator chooses who can see it: - **Public** β€” anyone on POINT can view and sign up for the event. - **Private** β€” only people who have joined the organization can see the event. A Group Coordinator can make an event private for specific group(s), choosing only from the groups they have access to. #### Adding contacts to an event On the Select Contacts step, the coordinator searches by email or name: - **If the contact already exists in the organization** β€” even one the coordinator can't normally see β€” the system finds the match and offers to select it, showing only the contact's name and email. - **If no account is found for the email**, the coordinator can create a new contact by entering their first name, last name, and email address, then selecting **Add & Invite**. The new contact receives an invitation to join the organization and is linked to the event. When creating or editing an event, a Group Coordinator chooses from what already exists in the organization: they can select an existing program by name, existing documents, an existing application, existing custom questions, or waivers during event setup. They cannot create new programs, documents, questions, or waivers β€” if something is missing, an Owner or Admin needs to create it first. ### Frequently asked questions 1. **Can a Group Coordinator track volunteer hours?** The general Hours page is not available for this role. However, a Group Coordinator can see the hours of group members within the group itself, on the group's contact list. They can also manage attendance at their events. 2. **Can a Group Coordinator see all contacts in the organization?** No. A Group Coordinator sees only contacts from their assigned groups. When adding someone to a group or an event, they can search the full organization by email or name, but only the name and email of a match are shown until the contact is added. When sending messages, the "All contacts" option includes only the contacts available to this role. 3. **Can a Group Coordinator create a new group?** No. A Group Coordinator can only create subgroups within their assigned groups β€” selecting a parent group is required. New standalone groups can be created by the Owner or an Admin. 4. **Can a Group Coordinator see billing or subscription details?** No. Billing and subscription pages are not available for this role. 5. **Can a Group Coordinator invite other team members?** No. Only the Owner can invite teammates and assign roles.
