What can a Group Coordinator do in POINT

Group Coordinator is one of the team roles in POINT. This role is built for group leaders and team leads: people who manage volunteer groups, their members, and group events, but do not need access to organization settings, programs, hours, or billing.

When someone with this role logs in, their account menu in the top right corner shows the Group Coordinator badge, so it is always clear which access they have.

Which groups a Group Coordinator can access

When the Owner assigns this role, they choose between two options:

  • All groups: access to every group in the organization.
  • Specific groups: access only to the selected groups.

Keep in mind how this works with subgroups: access to a main group also includes all of its subgroups. Access to only a subgroup does not include the parent group.

What a Group Coordinator can see and do

The Programs page and the Hours page are not available for this role: a Group Coordinator cannot view or add volunteer hours. All other menu pages, including Messages, Team, Integrations, Recruitment Tools, Referrals, and Subscription, are also not available.

Working with groups

Groups are the core of this role. Depending on how the role was assigned, a Group Coordinator manages either all groups or only the selected ones.

Within their groups, a Group Coordinator can:

  • Manage existing groups
  • Edit group details
  • Add contacts to the group and remove them
  • Export the group's contact list to CSV
  • View each member's hours within the group
  • Create, edit, and delete notes on the group
  • See who manages the group on the Admins tab

On the group page, the tabs Contacts, Details, Subgroups, Events, Notes, and Admins are available.

A Group Coordinator cannot send emails or texts to group contacts, and cannot request new background checks. They can view the statuses of existing background checks.

Working with events

A Group Coordinator works with events that are private to their groups. On the group's Events tab, they can:

  • See the events that are private to the group
  • Create new private events for the group
  • Edit and delete these events
  • Manage attendance at these events

When creating or editing an event, a Group Coordinator chooses from what already exists in the organization: they can select an existing program by name, existing documents, an existing application, existing custom questions, and waivers. They cannot create new programs, documents, questions, or waivers during event setup. If something is missing, an Owner or Admin needs to create it first.

Frequently asked questions

  1. Can a Group Coordinator track volunteer hours?

    The general Hours page is not available for this role. However, a Group Coordinator can see the hours of group members within the group itself, on the group's contact list. They can also manage attendance at their group's events.

  2. Can a Group Coordinator see billing or subscription details?

    No. Billing and subscription pages are not available for this role.

  3. Can a Group Coordinator invite other team members?

    No. Only the Owner can invite teammates and assign roles.
