Team roles in POINT: overview

Roles let you control what each person on your team can see and do in POINT. Instead of giving everyone full admin access, you can limit someone's access to just billing, a specific program, certain events, or volunteer groups.

Roles are available on the Teams plan. On the Free and Pro plans, every teammate has full admin access to the entire organization. To learn more, see [link: Teams plan article]. 

Only the account Owner can invite teammates, assign roles, and change them.

Available roles

POINT has six roles. Click a role name in the table below to see the full list of what it can and cannot do:

Full access and limited access roles

Owner, Admin, and Billing Coordinator work at the organization level. Their access is fixed: Owner and Admin cover the whole organization, and Billing Coordinator covers billing only.

Program Coordinator, Event Coordinator, and Group Coordinator can be limited to specific items. When assigning one of these roles, you choose:

  • All programs, events, or groups: includes everything your organization has now, plus anything created in the future.

  • Specific programs, events, or groups: access only to the items you select.

How to assign a role

Roles are assigned when you invite someone to your team on the Team page. Only the Owner can invite teammates and manage roles. For step-by-step instructions, see How to add admins and assign team roles.

Invitation statuses

After you invite someone, their status in the Team table shows where they are in the process:

  • Active — they accepted the invitation and can use POINT with their role.
  • Pending — the invitation was sent and is waiting to be accepted.
  • Declined — they declined the invitation. You can resend it from the actions menu.

Frequently asked questions

  1. Can one person have more than one role?

    • No. Each team member has exactly one role. If someone needs different access, the Owner can change their role at any time.

  2. Can I change someone's role after inviting them?

    • Yes. The Owner can change a team member's role at any time from the Team page. For step by step instructions, see [link: How to change a team member's role].]

  3. What happens to roles if we downgrade from the Teams plan?

    • Roles are part of the Teams plan. If your organization moves to the Free or Pro plan, team members with roles lose access to the organization. The Owner can then change role them as admins, since admin or owner are the only options available on the Free and Pro plans.
